If you’re on your way to becoming an independent travel agent , one of the first things you’ll do is find a host agency to work with. This guide breaks down all the benefits and things to look for in the best travel agencies.

What is a travel agent host agency?

Travel agent host agencies — or simply, host agencies — are essentially a company that provides support and resources to support your business as a travel advisor. 

Offerings differ from host agency to host agency, but you can expect training, administration resources, a commission split structure (learn how travel agent commissions work), preferred partner affiliation and more. 

How do host travel agencies work? What exactly do they do?

When you work with a host agency, think of them as a resource for your small business. As an independent travel advisor, you’ll still make your own schedule and manage most other aspects of your business. 

The host agency is there to set you up with the resources, infrastructure and tools you need to run your business. This can range from providing access to an IATA number (saving you a lot of legal paperwork) down to commission tracking and payments (although it’s worth noting that not all host agencies provide this type of payment service… more on that below). 

Host agencies offer independent travel advisors the support and scale of a larger business affiliation

Working with a host agency means that your small business also has the scale of a larger business affiliation. Since host travel agencies are made up of a network of lots of travel advisors, travel partners will see bookings coming in from other advisors within your host agency network. This means that your clients will benefit from that booking volume and name recognition. 

In addition, it means most travel agent host agencies have the resources and bargaining power to partner with top supplier brands around the world, helping to facilitate preferred partner programs and perks. Rather than having to create individual agreements with the thousands of hotel groups and other suppliers around the world, a travel advisor can work with a host agency to take advantage of its pre-existing partnerships. Many of these partnerships require a minimum amount of bookings, which are often only attainable with the scale a host agency can provide.

It’s worth noting that working as a travel advisor is an ongoing learning process (there are endless destinations to learn about, after all), so you’ll want to find a host agency that has ongoing training for every stage of your career.

If you have specific properties in mind that you want to book for clients, you’ll want to make sure that your host agency has the right partnerships to make those bookings. As a travel advisor, you’ll be able to book the same properties pretty much anywhere — but host agencies will be part of different preferred partner programs (or sometimes, not in those preferred partnerships). 

For background, top-tier host travel agencies are typically partnered with dozens or hundreds of reputable suppliers around the world, from destination management companies to hotel groups and more. These partnerships are often invitation-only, and allow an agency’s travel advisors to offer an extensive variety of travel perks and other benefits. For example, if you have a client who wants to book at a Rosewood property, you’ll want an agency that is part of Rosewood Elite so that you can offer your clients perks like room upgrades, spa credits and more. 

Preferred partnership programs also often come with increased commissions, so you’ll earn more by booking through an agency that is part of a preferred program.

3. It has a fair commission split, and (ideally) offers commission tracking & payment 

When you work with a host agency, you’ll split your commission with your agency. A host agency is able to offer the resources and framework of a host agency because of this business model that is a win/win for advisors & agencies. The gist of it is that by working with a host agency, you’ll share a small portion of your commission with your agency in exchange for all of the business tools that the agency offers you. Different host agencies have different commission splits, depending on their business model. It’s tempting to compare a 60/40 split or 70/30 split on the surface, but keep in mind that there’s more that meets the eye. For example, if the host agency is part of a preferred partnership program that offers higher commissions, then your earnings as an advisor could still be higher (even if you technically have a lower commission split than at another agency). 

Another factor to consider is how the host agency handles commission tracking and payments. Many host agencies expect their travel advisors to do this on their own. This is a lot of paperwork, invoicing, and often, follow-ups. Do host travel agencies cost money?

It depends on the host agency. It is not uncommon to have fees associated with joining a host agency, and the framework will differ from agency to agency. Some do not charge a fee to join, but they do have strict sales quotas that you must meet annually in order to stay affiliated with the host agency. Others are technically free but they have costly training programs that are required. Each host agency is different.

Does a travel agent need a host agency?

The American Society of Travel Advisors (ASTA) reported a 75-percent cut in revenue across travel agencies compared to 2019. Now, businesses face a long road to recovery. Being most vulnerable to the consequences of the crisis, small companies need additional support and cost-reduction opportunities. Many of them choose to seek help from host agencies ,which proved to be a wise move even in better times. This article explains how host agencies work, what benefits they offer to travel professionals, and how to choose the right fit out of endless options.

What is a host travel agency?

That way, suppliers see the entire group as one reputable client rather than a band of newbies with low sales volumes. Besides, they get access to better deals and higher commission levels available for wholesalers or corporate clients only. In return, a host splits commissions with the agent and charges a fixed fee (monthly or annually) for its services.

What accreditations does an agency need to be identified as a travel professional? While there are numerous options, hosts typically work with the three most accepted and important IDs. IATA/IATAN numeric code . Accreditation from the International Air Transport Association ( IATA ) or its US-based division, the International Airlines Travel Agent Network ( IATAN ) authorizes issuing air tickets on behalf of airlines. It also serves as a sign of professionalism for travel advisors and other industry players. ARC Agency Code Number . The Airlines Reporting Corporation or ARC works only with US travel agents. It enables them to sell airline tickets and handles financial transactions between carriers and retailers. In fact, ARC and IATAN duplicate each other, so ARC-affiliated companies don’t need IATAN credentials. However, many American agencies prefer to have both, as IATAN is associated with worldwide professional recognition and its members can enjoy significant travel discounts. CLIA Agency Membership . A travel agency may book cruises, no matter the type of professional accreditation it has. However, the Cruise Lines International Association is the only organization that offers a cruise-focused certification program. CLIA members have a strong reputation as cruise sellers and take advantage of exclusive perks and discounts. Each of these memberships requires significant fees, a large volume of sales, and proven experience in business. With a host agency, a small company can get all credentials immediately at a low price.

Services provided by host travel agencies besides accreditation

Sure enough, the use of an accreditation number is a major part of any host agency offering, which makes this scenario viable and win-win. As we mentioned before, working under the host umbrella guarantees low start-up costs, higher commissions and no hassles with getting and staying certified. But most host agencies have something more to offer to their agent network. The assortment of services differs from agency to agency, depending on the needs of target clients. However, the most common list includes the following opportunities.

Education and training

Almost all host agencies provide different types of training programs to both newbies and those already familiar with the travel business. New agents acquire general business knowledge and industry-specific information — like which supplier serves a particular destination. For experienced contractors, large host agencies offer continuing education, updates from suppliers, conferences, meetups, and more.

Bookkeeping and sales tracking

Often, a host agency takes the role of a part-time bookkeeper, managing commissions and taxes. An agent receives reports to track money earned and monitor business performance. Once a year, a host sends its clients a 1099 tax form.

Errors and Omissions (E&O) insurance

Errors and Omissions or E&O insurance is not something specific to the travel industry. It protects any service business from the costs of lawsuits brought for professional mistakes. It covers legal defense, court and administrative costs, settlements and judgments. Does any travel agency need such protection? Yes, since everybody makes errors and their consequences may be wallet-busting. Many host agencies offer contractors to join their insurance policy rather than obtain a separate policy. Of course, this insurance policy only applies to bookings made under the host’s accreditation number.

Marketing programs and sales opportunities

The biggest challenge newbies face is promoting their services. That’s why travel hosts typically arrange marketing programs for travel agencies. These programs embrace training, courses, marketing materials and technologies to build a business. Also, large suppliers often use host agencies to promote their products, and small agents can take great advantage of these partner programs.

Lead generation

Some big host agencies advertise their lead generation programs. Typically, they provide a technology that automatically matches affiliated agents to consumer requests based on niche, expertise, and other metrics. This way agents can get new clients and earn higher incomes.

Technology solutions

To run a travel business you need a variety of digital tools. And host agencies do their best to equip their agents with necessary programs. The software package may include

• CRM system,
• accounting software,
• email and social media marketing software,
• a lead generation engine,
• booking tools, and
• a consumer-faced website.

So, that’s what host agencies usually do: provide its affiliates with all necessary credentials, expertise, resources, support, and technologies to run a travel business. Does it mean that the first host you come across will perfectly cover your needs? Of course not. When digging into details, it appears that host agencies differ in many ways from sales volume and a niche they focus on to the share of commissions offered. Avoya heavily invests in new technologies, providing its affiliates with a consumer website and Agent Power platform that combines a CRM system, marketing tools, a dashboard with charts and reports on performance metrics, and a booking engine. It connects directly to suppliers’ systems, but in some cases the platform links to Sabre GDS via an API . The key feature of Avoya is its lead generation program called Live Leads and designed to send new clients directly to affiliates 24/7. Keep in mind, though, that when you take a lead from Avoya, the host takes a larger part of the commission (70 percent) and you receive only 30 percent. As an American Express travel representative, the company offers all AmEx exclusive benefits. Agents may earn Membership Rewards Points and use the Pay with Points option to buy hotel reservations, cruises, and more.

TPI positions itself as a marketing and support agency for new and experienced travel professionals. It is proud of the fact that over 40 percent of their affiliates joined the host when they were novices. For the first 12 months, the special Agent Engagement Department takes care of newcomers, counseling them on any question. TPI doesn’t offer live leads — instead, it focuses on training and marketing programs so that agents can more easily find customers themselves. A member of the Ensemble Travel Group, TPI gives access to high-tier commissions, perks, promos, and advertising goods from 380 preferred suppliers. The affiliates log into the Agent Portal with all marketing materials, email and accounting software, and a booking tool, enabling them to work with Amadeus, Sabre, and Travelport GDSs. Nine times out of ten, travel agents change  hosts several times before finding the suitable company to stay with it for years and even decades. So you're chomping at the bit to win a Luminary Award? This year, we expanded the host size categories to make sure Luminary Awards were an even playing field regardless of a host's size! (Previously we had 3 categories, now we have 5.)

With the exception of the Suprernova award (which awards a high average star rating), we tally up our data from the previous year to determine our award winners. Here's the deets:

Travel agents are back

Millennials and Gen Z are taking big trips — but they don't want to plan them.

I had just turned 9 when I discovered Anthony Bourdain's show "No Reservations." It wasn't like the other Travel Channel shows. Sure, the premise was straightforward: Bourdain traveled around the world to meet up with locals and try their cuisine. But instead of focusing on tourist hot spots and flashy, curated experiences, "No Reservations" was about traveling by the seat of your pants and getting as close to the local culture as any outsider could be allowed. I was an immediate disciple.

Travel shouldn't be about checking off items on a bucket list by sticking to sanitized excursions marketed to foreigners; it should introduce you to someone else's slice of life. On family trips to New York City, I cringed when my mother pulled out a paper map. "Everyone is going to know we aren't from here," I thought.

Though I grew less self-conscious over the years, that mentality remained. Others in my generation — I'm on the cusp between Gen Z and millennial — were on the same page, determined to seek out "authentic experiences." For years, people explored the world with the help of travel agents. But those services — sending you to places curated just for tourists — seemed to fly in the face of the Bourdainian ethos. Travel agents felt like vestiges of the preinternet world, like video-store clerks or pay phones, and I couldn't imagine ever needing them. What could they tell me that Reddit couldn't? Isn't it simpler to just book my own flights? Doing everything myself felt easier.

As of late, though, my attitude has changed.

Ever since the pandemic-era travel restrictions subsided, travel has boomed. Everyone is jetting off to Italy , Japan , and Costa Rica . Money spent on travel and entertainment surged 30% in 2023, fueled largely by young people. We're all desperate to make up for lost time, but there's a catch: Many of us 20- and 30-somethings are tired. It turns out that aspiring to be a DIY traveler takes a lot of energy — energy that we've already exhausted on careers, relationships, and day-to-day responsibilities. When we do finally have the time to venture away from home, we're burning ourselves out trying to coordinate all the details of our trip. Meanwhile, the sense of precarity we all felt during the pandemic hasn't left. Flight delays and cancellations from weather , short staffing, technical issues, and random bad luck are more common than before. The odds that something could go wrong feel higher.

That's precisely why some are turning back to travel agents. In 2014, the number of travel agents was half of what it was at the industry's mid-'90s peak , with many expecting it to become obsolete. But by 2021, 76% of advisors were seeing more customers than before the pandemic. And in a 2023 survey of 2,000 American travelers, 38% of Gen Z and millennial respondents said they preferred a traditional travel agent over online booking. Only 12% of Gen Xers and 2% of boomers said the same. Whether we're bopping around the Mediterranean or just posting up at an all-inclusive resort in Mexico for a week, a lot of us are deciding we'd rather put the planning in someone else's hands.

Matt James, a 29-year-old software engineer in New York City, was initially excited to plan his summer trip to Vietnam himself. Like many his age, he's primarily interested in sightseeing in cities. "I found myself going down hourslong internet rabbit holes trying to hone in on a perfect itinerary," he said, "Googling 'best neighborhoods in Hanoi Reddit,' 'two-week Vietnam itinerary Reddit,' etc."

After a while, though, he said it was hard to find the time and energy to plan. Doing his own research was mentally exhausting. He decided to give up the hunt and hand the work over to a travel advisor who was also a family friend. "He was able to take care of booking visas, flights, hotels, and a few excursions," James said. "It was very tempting to have him take care of it all in one email thread for a couple-hundred-dollar fee." Now, he said, all that's left is deciding what to see and eat at each location — something that lets him satisfy his urge to rabbit-hole.

A flight to Mexico City and five nights at a boutique hotel in Coyoacán, however, feels a little more firmly within our grasp.

In a Business Insider survey, in collaboration with YouGov, millennials cited travel as one of their most important goals for the next five years, more important than having fulfilling romantic relationships, owning a home, advancing their career, or starting a family. In fact, the only two goals millennials considered more important than traveling were being financially stable and improving their health. Amid rising costs for housing, childcare, and everything else, key milestones get pushed further down the road. A flight to Mexico City and five nights at a boutique hotel in Coyoacán, however, feels a little more firmly within our grasp. In a 2023 Morning Consult survey , both millennials and Gen Zers were more likely than older generations to travel frequently, with half of each cohort saying they took three or more leisure trips a year. Gen Zers were also more likely to go overseas than their older peers.

For as little as $100 — or nothing at all, given that some agents work on commission from the hotels and other travel companies they work with — overwhelmed young travelers can have someone take all the pressure off the experience. There are travel agents specializing in just about every type of travel imaginable, from multicountry group tours to luxury all-inclusive trips. And different types of agents can offer different perks.

For complex overseas trips, where a million things could go wrong, it makes sense to hire an agent to not only ensure everything goes as smoothly as possible but also handle the rebookings in the event of a hiccup. When something goes awry, it's someone else's problem.

While James decided to have his agent handle just the basics of his Vietnam vacation, many agents can help curate the experiences in between, promising to find their clients the coolest markets to shop at or the most-recommended museums. On a different trip, to Oktoberfest in Germany, James' travel agent — a native German speaker — was able to secure all sorts of reservations that James would never have been able to land on his own.

Increasingly, travel agents are luring people in through social media, where they can speak straight to the millennial and Gen Z desire for a unique experience and a relaxing trip. "We can give you the special slice-of-life experience you want," they pitch, "just without the hassle." Companies like Fora, for example, use TikTok and Instagram to seed sleek ads for package trips to the Croatian coast or boutique hotels in the Florida Keys, with extra attention given to "sustainability" and travelers' specific "aesthetic" desires.

Agents elsewhere on TikTok tout all-inclusive trips where the point is to just lie on the beach and chill the hell out for a second. Searches for topics like "best all-inclusives Cancún" heavily feature travel agents promoting their services , ranking their favorite resorts and highlighting the perks they can offer clients who book with them. One of their main selling points: Their services are free. And many agents also claim that their customers can receive better deals thanks to the special pricing and perks available to agents.

"We can give you the special slice-of-life experience you want," they pitch, "just without the hassle."

"Many of my Gen Z clients are in entry-level careers, graduate programs, or saving for other big expenses, so they're often looking for destinations that allow them to relax while making the most of their limited vacation days and budget," said Kayla Smith, a travel advisor for Sojourney Travel, a company specializing in beach vacations, cruises, and theme-park trips.

Smith is a Gen Zer and said that over half her clients are Gen Z. "Going from school to the workforce is already a huge life transition, and when you add on a pandemic and varying career expectations, you're bound to see a generation who is experiencing burnout at a rapid rate," she said.

For that reason, resort groups like Sandals are seeing an influx of Gen Zers and millennials. Ashley Kooker, a senior business-development manager for Unique Vacations, a sales and marketing affiliate of Sandals and Beaches Resorts, said that these properties had been attracting younger customers in part by blending the all-inclusive format with the opportunity for more exploration. At Sandals Royal Curacao and Sandals Royal Bahamian, guests can opt to go off-resort and visit local restaurants as part of their all-inclusive plan — allowing experience-minded vacationers to have their cake and eat it, too.

Exhaustion aside, many of us 20-somethings still yearn for these hard-to-get-to, out-of-the-box journeys — the trips that make us feel like travelers rather than tourists. William Lee, a travel agent at Chima Travel , a family-owned agency in Ohio that's been operating for over 100 years, told me he often gets requests for obscure destinations young clients see on social media. "We had a client come in and ask us about Oeschinen Lake in Switzerland," he said. "They saw the lake on TikTok and wanted to go there. I had to let them know that to do so would require hiking into the Swiss Alps and going a bit off the beaten path."

I recently wrapped up a 10-day trip to Peru, where I hiked for three days through the Lares District, ate quinoa soup in the San Pedro Market in Cusco, and bar-hopped in Lima. It was a trip packed with experiences — the kind that my generation is always talking about prioritizing — but I don't think I relaxed for a moment. And that's despite leaving all the planning to my friends.

I'm already plotting my next big, multiweek international trip — I'm looking at Vietnam, myself — but before then, I need to book a few days somewhere where I can be by a pool with a margarita in hand. Where will I go? I'm not sure. That's for a travel agent to decide.
