Where and how do I manage my booking?

Step 1

Log in to your account here . You can also access your account from travelagents.viator.com by clicking on “Manage account” from the dropdown menu.

Managing bookings step 2

Navigate to the “Manage bookings” tab on the top menu bar and select your date range from the calendar filter.

You can locate your booking in two ways:

  • By typing the Booking Reference Number directly into the search bar
  • By scrolling through your list of bookings

You can also filter bookings based on their status.  To view bookings that occurred in the past, check the box next to ‘View Past Bookings’. 

Once you’ve found your booking, click the 3 dots to the right of the commission and select “Manage.”

After clicking “Manage,” the booking details page will open in a new tab. From here, you will see all the relevant details and actions you can take on the booking, including:

  • Editing the traveler details 
  • Changing the tour dates
  • Canceling the booking
  • Accessing the tickets
  • Contacting the tour operator
  • Updating the payment details, if the booking was made using Reserve Now & Pay Later

Editing direct bookings

When editing a booking you made on behalf of your client, you have a few options:

Change dates

Here, you can change the travel date. Note: there may be differences in price, and you will be alerted of price changes prior to confirming your change.

Update travelers

Need to add or remove someone from a tour? You can easily change traveler names and add or remove travelers here. Note: you will not be able to remove the lead traveler. To do so, you’ll have to cancel the booking and rebook.

Change tour option

You may change the tour option here.  ‘Tour options’ are different options for the same tour and may include different start times, inclusions, pickup locations, etc.)

Any changes you make will be sent to the email address(es) used during the check-out process (i.e. to the Agent Only, Traveller Only or Both). 

Note: you will not be able to edit a booking if the booking was marked as “All Sales Final” or if the booking is within the terms of the operator’s cancellation penalty.

Managing indirect (“Share with client” link) bookings

If your clients have made a booking using your “Share with client” link, you still have a few options to help them edit/cancel the booking. 

Step 1

Identifying indirect bookings

From the “Manage bookings” tab of your account, you will see bookings made using your “Share with client” link marked as “Indirect” under the “Type” column.

Client can manage the booking

Your client is able to manage bookings they’ve made on their own through their Viator account.

You can call customer support

As the agent, you are also able to call customer support on behalf of your client. Call (888) 651-9785 with the booking reference number.

Can anyone else see my bookings.

Host agents have access to all bookings in their agency. Member agents have access only to their bookings.

How do I know if my booking is eligible for cancellation?

If the booking is eligible for cancellation, the ‘Cancel for Free by (DATE) button will show. When you click here, you will be taken to a secondary screen with the following:

  • A drop-down to select the cancellation reason (required)
  • The total amount paid
  • The total refund amount, including the last four digits of the Credit Card to which the refund will be credited and the expected refund timeframe
  • ‘Cancel Booking’ button to finalize the cancellation

Do I need to download tickets?

You do not always need to download tickets and send them to clients. If mobile tickets are accepted (which will be indicated on the ticket) then clients can access tickets on their smartphones when in destination.

Can I remove the lead traveler from the booking?

You cannot remove the lead traveler from the booking.

I'm a lifestyle journalist with a focus on travel and trot the globe frequently with my husband and five-year-old twins. So I think of myself as pretty savvy when it comes to calling upon Internet resources (not to mention intuition earned through experience) to make bookings, even in places I've never before been.

This summer, I went on a two-week vacation with my family in Europe, hitting Greece and Croatia, plus bordering countries along the Dalmatian Coast. We spent a fair amount of time off the beaten path and there were a lot of moving parts. But I felt confident, and competent, that I could independently plan our trip, without the help of a travel agency. I know my way around search engines for flights, hotels, and deals.

But there was a blind spot. How would I book tours and excursions such as chartering a speedboat for our family to Croatia's famous islands?

I was relieved when I stumbled upon the activity-booking search engine Viator , which is owned by Trip Advisor. After reviewing various offerings and reading reviews, I booked two separate boat charters through the company. Both boats were clean, comfortable, beautiful, more or less as advertised, and operated by companies I would not have known how to access without Viator. 

I'd recommend the platform, especially to anyone staying at an Airbnb without a concierge like I did, or looking for cheaper options than what a hotel or travel agency might suggest. But I'd offer a caveat from my own experience: savvy travelers must make sure to cover their bases to avoid potential pitfalls such as the one we experienced. 

What is Viator?

Viator is Trip Advisor's platform for booking all kinds of activities during travel. Consider you might find 4x4 and camel tours in Dubai, a skip-the-line tour of the Colosseum in Rome, or a tour of the Grand Canyon by helicopter from Las Vegas.

Really, you'll find just about anything. The search engine includes options for a truly whopping 200,000 bookable activities in places all around the world making it unlikely that you won't find what you need. All operators listed are pre-vetted for credibility and safety backed by Trip Advisor .

Importantly, the site also aggregates millions of reviews, like what you'll find on Viator's sister site, Trip Advisor, so you have a pretty good sense of what you're getting. 

How is Viator priced?

Naturally, price points on Viator range dramatically based on the location and the excursions' complexity. A basic walking tour might cost under $20 while a day-long excursion or charter could cost hundreds more. The more expensive of the two trips I booked came in under $1,000, and the rates on the site can soar depending on what you're booking.

The site is optimized for mobile booking, offers around-the-clock customer service in multiple languages, a lowest-price guarantee, and a 24-hour cancellation policy, which makes the financial risk in booking feel low. 

In fact, I made use of that cancellation policy a few times to cancel and rebook similar activities when I changed my mind on the specifics, and also to flatly cancel a sightseeing tour I'd booked for our first day in Greece when I realized we'd all be too jet-lagged to bother.

I made both Viator bookings using my Chase Sapphire Reserve credit card  — both in U.S. dollars — and faced no trouble making these changes.

What did I book through Viator?

I'd never been to Croatia, but knew I wanted to see its beautiful islands. We were staying in an Airbnb apartment (a rare choice for me) instead of a full-service hotel with concierge, so I was on my own for finding out how to do this. 

Poking around on the Internet for tours, I discovered Viator , which was previously unknown to me. I appreciated that like its parent company Trip Advisor, Viator heavily incorporates a review system, and the Trip Advisor backing gave me confidence. I booked two tours, each about three weeks ahead of our arrival.

For our stay in Dubrovnik, I booked a half-day private speedboat tour to the Elafiti islands , which earned an impressive five stars overall, with over 100 reviews on Viator. The trip for four people for four hours came in just under $400 after I used a 10 percent discount code. 

Then, for the portion of our trip in the northern area of the country, Split, I booked an all-day private sightseeing tour with five proposed stops , including the famous Blue Cave and Hvar island. This trip also had an overall five-star rating on Viator, but with far fewer reviews, just 27 as of the time of this writing. The eight-hour trip for four people on the private speedboat charter cost $873 after the discount code.

These prices might seem steep, but consider that it's priced for four people, as well as the alternative. When I briefly felt overwhelmed with planning, I reached out to a Croatia-based travel agency. The land-only quote for a week in the county for our party of four was 12,000 euros. Booking on my own — including these two-day trips through Viator — cut our expenses to less than half.

My booking experience with Viator

After so much planning, our trip was at last underway. We spent a morning at a Dubrovnik beach club before our scheduled boat tour for the afternoon. That same day, the highly responsive tour company reached out through WhatsApp and email to coordinate transportation for us to the marina, where we'd be meeting our skipper and the boat.

They called a rideshare at their expense to meet us at the beach club and we arrived at the marina to find an impeccably clean boat and friendly skipper.

As promised, the boat was just for our family with amenities like shade cover and a USB port to charge up phones and stay ready for photo taking. 

We set out for the afternoon on the Adriatic and were able to customize our itinerary, checking out bays, beaches, and caves at our own pace. The skipper snapped family photos and offered snorkel masks and drinks.

At the end of the afternoon, our skipper called us an Uber to take us back to the hotel. Overall it was a successful, fun day. And at under $400 for four people, felt like a great value for all we were able to do.

Unfortunately, it didn't foreshadow the more challenging experience we had on our next excursion, which was the full-day boat charter from Split.

For that trip, I had more difficulty communicating in advance with the operator, who was less responsive. I didn't get all my questions answered before booking, and miscalculated by making some critical assumptions that turned out to be false.

We arrived at the marina to find a boat that exceeded our expectations. It was a rather luxurious looking speedboat with room for 12 and was larger and fancier than our previous boat in Dubrovnik.

It was also more powerful, at 250 horsepower. While some people might appreciate that, the speed of the vessel scared our young children right away.

Our skipper was a devoted and experienced older brother, so he was well equipped with strategies to help calm our kids and took pains to make them comfortable. He even let my son "drive" the boat and honk the horn, which was a huge hit. 

But my daughter was still uncomfortable as the boat sped through the open ocean. Off the bat, I wondered if this was something any ambitious American traveler would attempt with such young children had they known how rough it would be.

The skipper warned us that the Blue Cave would be backed up and crowded, and the timing might correspond to a bumpy afternoon sail. So we opted against it and chose a custom plan to mitigate the intensity. I appreciated that we were able to change the day's itinerary to better suit our needs.

Our skipper took us to a gorgeous, remote beach on the island of Vis, which was a true highlight with crystal clear water and a sense of true isolation. We swam from the boat to the beach, snorkeled, and took lots of pictures.

Afterward, we sailed to glamorous Hvar island, where we passed an hour or so with lunch in Hvar Town.

But it was after that, on the way back to the harbor in Split, when our challenges started in earnest.

It was squarely afternoon by then, and the winds had picked up; the open ocean was very choppy. That is to say, our boat caught full air and slammed back down — over and over again. There was nothing the skipper could do as this was the nature of the boat and typical conditions.

Although my kids (mercifully) don't suffer motion sickness, they were terrified. Anyone with young children and those who do suffer from motion sickness should inquire about conditions before booking any similar boat ride as I wished I had.

My son could be placated by heading back to his post as the boat's "driver," but my daughter was miserable for the full 75 minutes it took to get back to the marina and the waves soaked our family. Making matters more concerning, there was only one kid-sized life jacket on board.  

I was regretful that I'd gotten us in this position. I hadn't adequately confirmed that this was the right trip for our family.

And although I generally feel like a diligent and capable planner, I'd continued with the booking despite not waiting for the answers I needed: Would there be child-sized snorkel masks? Would there be two child-sized life jackets? Was the water likely to be rough? Will we get wet or seasick?  

The bottom line on Viator  

Overall, I wouldn't trade either of the stunning boat excursions I booked through Viator . They made for essential sightseeing experiences for any visitor to Croatia.

The operators on both experiences were professional, and the services were provided as advertised. I also found the prices to be reasonable, much more so than if I'd booked through a travel agency.

I'll book through Viator again, but next time, I'll make sure I'm asking more questions and getting the specific answers I need first.

If a particular operator is vague or reluctant to respond to the specifics of an important matter, like child-sized life vests, or typical water conditions, I will move on to another operator.  

As a now-seasoned Viator user, I'd say: book with confidence. Just make sure you ask a lot of questions specific to your needs and make sure you get them all answered explicitly before you show up on the day of your booking.

With the sheer number of bookings available on Viator, you should have plenty of options to keep moving onto another suitable tour operator until you find one that gives you all the answers — and confidence — you need.

How do I contact Viator? What is the customer service contact info for Viator? The website says it is 24/7 customer support, but I can't find any contact info. The FAQ does not provide any, and the customer support page just links back to the FAQ, as far as I can see. Thanks.

No there is not.

You'll need to call the international number, long distance.

Why do you make it so difficult to contact you.

One of your customers complaint that they had to wait 30 minutes before someone picked-up the phone at Viator. It seems you really don't want to hear from your customers. Is that how Viator defines customer service?

This isn't Viator, lotuslandtours, this is Tripadvisor. A sister company, yes, but it's run as a separate entity.

UK phone number: 01224 928241. (In Aberdeen!) This is a landline number and we did not get charged. It was incredibly difficult to get hold of but did work. Please try and spread the word. We will never use Viator again. They are hopeless!

Trip Advisor takes online booking for tours etc. and it is apparent from many "victims" who book then have issues that TA does not make it clear that it transfers you to yet another third party vendor ie Viatour. If they are going to do that why not book direct with Viatour and maybe get more direct contact info??? Of better yet I recommend finding what you are looking for and booking direct as Viatour is just a middleman.

Viator is more of an aggregator of tours, led by different tour companies/guides. They are more of a middle man between the tour company and you, instead of working directly with the local tour company. Even so, I have used them in the past, as they show a bunch of options all put together and you can search by length of tour, time of day, and your dates. I used them more frequently before I realized I could more easily book these tours on my own for a little bit less, but when I did use them they were always reliable and helpful with any issues, if they arose. I've booked tours with Viator in Croatia, Cyprus, Germany, Australia, among many others. Each time, I've always had great communication from Viator, and the few times I've needed to cancel a booking, they've always been understanding and tried to help me with a credit or refund when possible. I would recommend Viator if you want an easy way to search and book a few tours without having to work directly with multiple different tour companies yourself!

VIATOR is the worst company with no concern for their customers once they take your money. They toon my money, never gave the tour we were promised and refused to give a refund when asked. They are frauds who don't stand by their promise. I would stay away from this company. You will be scammed and their customer service won't help you.

Terrible customer service. I will never use them again. I booked for a Saturday evening and they put us down for Thursday. We were not even into Mexico yet. The vendor said talk to Viator and Viator said talk to the vendor. End of the story is, neither company would change it to the right date OR REFUND OUR MONEY. EVEN WITH 72 HOURS NOTICE. TOTAL MONEY GRAB. THEY DO NOT CARE ABOUT THE CUSTOMER. This could have been fixed but they chose not to. Never again!

Booked a two day tour in Porto. Arrived at designated spot and was told that the tour operator wasn't running that day. Called Viator, who told me to call the operator. Called the operator, who confirmed that they were not running that day and weren't sure if they'd be running for the second of our two days. Booked on another tour operator and went on our way. Asked Viator, and Yellow bus to refund our money. We were told they would "look into it". I then contested the charge with Paypal, and have now been waiting for over two weeks while Viator says they are "checking the details". Really poor on the customer service front, and I'll think twice before using them again.

Booked an afternoon tea bus tour in Edinburgh, Scotland. Description said nothing about age limits, we were denied entrance because of our 2 year old. Description of event even said "stroller accessible." Asked for a refund, they said no. Since asking for a refund, Viator CHANGED the description of the event, therefore admitting wrongdoing. Filed a chargeback with my bank and Viator refused to answer my bank, meaning I don't get the money back. Avoid this company at all costs!

Same experience. First 5-6 tours went as planned. Next tour, I didn't receive my tickets. Viator refused to refund us. Talked with the manager and he insisted that we received our tickets via email. Which we didn't. It actually went to WhatsApp which I have but don't use. When we requested our tickets, there were two options. Receive tickets via app or receive tickets via email. The manager still insisted that the vendor sent tickets via email and refused to give us any kind of rebate or anything.

If Viator don't want their ratings to go down, I would suggest they remove the company name The company Star Blue Catamaran in Cancun from offering tours. We travel a lot and this has been by far the WORSE EXPERIENCE EVER!! I wrote viator my complaint, they said unfortunately they could not give me a refund. I asked for a supervisor and have not been able to get one. First of all, we had to wait outside in the heat for our driver to arrive thirty minutes late to pick us up for the excursion. The tour operator was unresponsive when I messaged them, and the phone was disconnected when I tried to contact. Furthermore, the driver did not apologize for being late when he arrived. In addition, he pulled over to the side of the road to use his phone and stopped to take films. We were then informed that we could not snorkel after the boat had sailed away after we arrived at the boat. We mostly booked for snorkeling, thus this was a tremendous annoyance. Additionally, there was a cost associated with reserving the coral reefs. yet we didn't get to see any reefs or be near any. I feel as if they waited to take our money first and sail off so that we couldn't try to cancel and get our money back. Another thing I noticed is that the music was not diverse at all. They have a lot of tourism going on so it was weird how they only played one genre the entire time. No one even wanted to dance or sing. Then, when we docked to eat we were told to be ready by 1:20pm. We had just docked at 12:20pm. Between docking late and having to walk to the lunch place we only had about 30-45 min to eat and use the bathroom. When my group walked back to the boat we were told that it's actually 1:40pm and to find something to do smh. Also, when we went shopping one of the workers said they would charge my friend $35; however, they charged her 700 pesos which is actually closer to $42. When she tried to tell them, they ignored her and still took her money. Lastly, on the way back our guide told us that our transportation was waiting for us. It was not. We got there and there was no one waiting. The guide then told us that it was actually a 5 minute wait. 5 minutes turned into 10, and then 20, and then an hour. Again, there was no apology for this. One of the families sharing the van had a baby who was obviously upset and hot and tired of waiting. Overall, if I could give this experience 0 stars I would. I hope that the customer service team takes note of my comments and kindly decide to issue a refund. I'm not happy at all and don't feel comfortable booking on trip advisor or viator if they just let any company have a booking page.

This is a review NOT about the tour but about the booking process. Be aware, that Viator will confirm your dates on an activity, charge your card, send an activity voucher and then email you back later on to say that the activity is sold out. You will THEN have to confirm to them, that you actually want a refund. HUH, do I want a refund on an activity that they confirmed, charged me for and cancelled? SMH.

Do you want to deal with a company that promises you excellent service and don't deliver. Do you want to deal with a company that promises fool refund for horrible and life threatening experience and don't deliver. I don't advise.

Viator canceled my trip after I waited an hour in Cancun. Then in Cabo, Viator posted an incorrect time under my pickup details for my booking, and transportation never called when they arrived. They charged me over $400 for a trip I didn't go on due to their misinformation. Customer service over phone and email was horrible. Other travel companies informed me that Viator is known for miscommunication with customers and over-charging. Wonderful Trip to Paris and London

I booked a trip for four days in Paris and three days in London. Since it was such a short trip, I wanted to be able to cram as many tours as possible into the seven days. For Paris, I had booked a walking/boat tour of the city, a tour of Versailles, a bus trip trip to the Loire Valley and a guided tour of the Musee d’Orsay. It took a lot of planning to be able to accomplish all four tours because some were only offered on certain days of the week. By using the app to flip back and forth between tours, I was able to schedule a tour for each day in Paris. While in London we took a walking/bus/boat trip of the city and a bus tour to Windsor/Bath/Stonehenge. The last day in London was spent shopping and we saw a play in the West End. I booked all but the theatre tickets through Viator. I had my tour tickets in my Apple Wallet and also carried a printed copy to the starting point of each tour. All went very smoothly and seamlessly. They were all booked about six months in advance and I had all the confirmation info in plenty of time for the trip. Great customer service and a great app.

Pre booking is scam

We use this site all the time and they are great site to use for your trips and we’ve never have had any problems until now. We pre booked an excursion for 12pm on a Wednesday which meant we needed to cancel by 12pm on Tuesday to get our refund. We had something come up on Wednesday so we weren’t going to make the 12 pm Wednesday, so I tried to change our time to 10am Wednesday, but I never got a confirmation email saying that it went through. I decided to cancel the entire tour at 11:14am on Tuesday because I didn’t want to loose out on $290. I was told I would be refund the $290 in an email but I wasn’t refunded. I called and they told me my attempt to reschedule actually went through and would have needed to cancel by 10am on Tuesday to get my refund per their policy. I asked why I didn’t get and email about the change or why the tour operator didn’t send me a message about the change in time and they said they may have been a glitch in the system. I sent them pics of my email and what the site showed as I canceled showing I would get a full refund with no cancellation fee. They still said they wouldn’t give me a refund per their policy. I think they are great site and I still trust them to book all my excursions, I just will never pay for booking since I now believe no matter what you will not get a refund if you you have to cancel. They definitely value their money over your continued business.

Avoid - Dishonest Business Practice

Update- they did respond and asked for a private message. In the end they still did not honor their policy. Just said it has been reviewed and no refund allowed. GLAD I PAID WITH VISA AND NOT DEBIT CARD SO I CONTESTED THE CHARGES AND GOT MY $& BACK. —- I was directed to them via the IHG Hotel site to arrange transport from AMS Schiphol airport to our hotel in Amsterdam. The app requires an answer for all forms of transport including: picking a hotel from a long drop down list of hotels in random order, from hotel to airport, arrival flight info, departing flight info, arriving and departing rail info, cruise information. I immediately contacted them to either understand or correct what was communicated with me. Pretty quickly I got a reply with a link and she guaranteed we could arrange the transport. The link went back to the exact same app to create a new booking. I sent my booking and confirm number and informed them that I already booked it but the app messed up to pick up location. Her response was to cancel the booking and by the time she did that I was less than 24 hours away and informed me that I could not get a refund. So when you try to use them and the scheduling looks complicated. Be forewarned they will use it to get your payment and leave you standing at the airport needing to arrange transport. NOT a good way to start a vacation
